230+ production workflows, monitored so nothing fails silently.

In brief

The brief, the hard part and where it landed.

The brief
As automation grew to hundreds of workflows, the risk changed: not whether something could be automated, but whether anyone would notice when it stopped working.
The hard part
Part of the estate still ran on Zapier, with rising costs and limited control over errors.
Outcome
Failures surface within hours, with context, instead of being discovered by a customer weeks later. The team can keep adding automation without adding risk.

The build

What we designed and built.

We made reliability a feature of the automation estate:

  • Legacy Zapier flows migrated to n8n where reliability and cost justified it, without interrupting live operations.

  • A daily digest of every workflow error, sent to the people who own the process.

  • Alerts when a workflow that should have run goes silent, or succeeds without sending the email it should have sent.

  • Alerts when a credential breaks, before the workflows that depend on it start failing.

  • Data-quality alerts for duplicates and conflicting records.

  • Fallback flows that re-send critical messages when the primary path fails.

Security, designed in

  • Credential health monitored; broken or expired credentials raise an alert.
  • Silent failures detected, not just errors.
  • Critical messages have a fallback path.

What it looks like in practice.

The real workflow structure, and what customers and staff see. Names and figures in the examples are illustrative.

daily-error-digest Active
The monitoring workflow behind the daily digest, as it runs in production: failed runs are listed, grouped per workflow, enriched with the last error and e-mailed every morning, with a fallback mailbox if the first send fails.
