Industries · Training providers

From enquiry to certificate, without the admin backlog.

Training providers repeat the same steps for every learner: contracts, convocations, platform access, attendance, reminders, exams and certificates. We automate the whole journey around the tools you already use, and monitor it so nothing silently fails.

Enrolment admin, end to end

From signed contract to certificate, without the admin backlog.

Problem
Contracts, accounts, attendance, exams and certificates were produced and chased by hand for every customer.
What we built
Automated flows for contracts and e-signature, onboarding, attendance, progress reminders, exams, certificates, shipping and payments.
The hard part
Branching by course, customer type and funding route, on a shared database with API rate limits.
Result
Each enrolment moves from contract to certificate automatically; staff only see exceptions.
Safeguards
Contract and payment steps tracked to completion, with alerts when something stalls. Learner documents stored in access-controlled storage, not email attachments. Fallback flows re-send critical emails (contracts, access, proof of attendance) if the primary path fails.

Where the hours go

  • Every enrolment means generating a contract, chasing the signature and creating accounts by hand.
  • Attendance records are collected and filed manually after every session.
  • Learners fall behind and nobody notices until it's too late to help.
  • Trainers and examiners are scheduled by email and calendar invites typed one by one.
  • Certificates and completion documents are produced one at a time at the end of each cohort.

Our approach

We start from your team's day, not from software.

We spend time with the people doing the work, list what they repeat, chase and re-type, and automate the steps that cost the most, keeping people in the loop wherever judgement matters.

Workflows we build for firms like yours.

Typical examples. Each one is mapped from your real process first, with people kept in the loop wherever judgement matters.

Before
Admin staff assemble contracts, chase signatures and create accounts by hand.
After
Each enrolment flows from contract to access automatically, with alerts only when something stalls.

Questions we get asked

How much does it cost?
Every project gets a fixed quote after a free 20-minute scoping call, so you know the price before any build starts.
How long until the first workflow is live?
A focused workflow is often live within one to three weeks. Larger journeys are phased so something useful ships early.
Have you done this for a training organisation before?
Yes. We built contract-to-certificate automation and an AI learning assistant for a training organisation. The first is shown on this page; both are in our Projects section.
Can it handle different course types and funding routes?
Yes. Workflows branch on course, cohort, learner type and funding route, using the rules your team already applies by hand.
What happens when a workflow fails mid-cohort?
Monitoring is part of the build: daily error digests, alerts for workflows that go quiet, and fallback flows that re-send critical emails such as contracts and access details.

Talk it through with an engineer.

You describe the process, the tools and where it breaks. We tell you what we’d automate, build or test first, and roughly what it would take.
