- Every new learner meant generating a contract, chasing the signature, creating platform accounts, sending convocations and collecting attendance records, all by hand.

- Exams, certificates, equipment shipping and payments were tracked in spreadsheets, and the admin team spent its days checking that emails had actually gone out.

- The routine admin of every enrolment runs automatically, the same way every time. Staff handle the exceptions the system flags, instead of checking every step.

What we designed and built.
We automated the journey from signed contract to certificate:
Contracts and amendments generated from templates, previewed, sent for e-signature and tracked to completion, for individual and business customers.
Platform accounts created, convocations and start-of-course emails sent automatically.
Attendance sign-in links sent for every session and records collected and filed; absences trigger a reminder and a replay link.
Progress synced from the learning platform, with reminders when learners fall behind.
Exam registration, notifications, results checks, certificates of completion and progress booklets generated automatically.
Equipment kits shipped at milestones, with Stripe payment links and checkout.
Trainer and examiner schedules synchronised with Google Calendar, with reminders before each session.
Security, designed in
- Contract and payment steps tracked to completion, with alerts when something stalls.
- Learner documents stored in access-controlled storage, not email attachments.
- Fallback flows re-send critical emails (contracts, access, proof of attendance) if the primary path fails.
