In brief
The brief, the hard part and where it landed.
- The brief
- Leads arrived from Meta Lead Ads, Google Ads, chat and several website forms. Each source landed somewhere different, and salespeople copied details into the CRM by hand.
- The hard part
- Booking calls depended on back-and-forth emails, no-shows were rarely followed up, and call notes were inconsistent.
- Outcome
- Leads from every channel reach the CRM in seconds, qualified and assigned. Salespeople spend their time on calls, not on data entry, reminders and note-taking.
The build
What we designed and built.
We built the sales pipeline as a set of connected n8n workflows:
Every lead source pushed into one CRM table, with duplicate detection and qualification before a salesperson sees it.
Booking across the whole sales team from a single link, with the meeting written back to the CRM against the right owner.
SMS and email reminders 24 hours and 1 hour before each call.
No-show and no-answer follow-up sequences at day 7, 15 and 20.
Calls synced from the telephony provider, with AI-generated summaries written back to the lead record.
Conversion events sent back to the ad platforms so campaigns optimise on real leads.
Security, designed in
- Every incoming lead is checked before it is written to the CRM.
- If an ad platform stops sending leads, the connection is restored automatically.
- Unsubscribe requests honoured automatically across every sequence.
What it looks like in practice.
The real workflow structure, and what customers and staff see. Names and figures in the examples are illustrative.
